Inside My VA Toolbox

It wasn’t until I started working on this page that I realized how many tools and apps I use every day in my business. Some I discovered for myself, while others I began using after working with a client or colleague who eagerly shared their positive experiences with the application.

I personally recommend each of the products or services below. Please note, a few of these links are affiliate links, which means I’ll make a small commission if you complete a purchase after clicking through. Rest assured, the prices you pay have not been increased to compensate me and it will cost you the same as if you went to the website directly.

Book Like a Boss

Book Like a Boss is a seamless, all-in-one scheduling tool which allows you to automate your bookings and sell digital or physical products, or even paid services! It syncs with several online calendars (such as Google Calendar) and replaces all of the back-and-forth time-wasting emails to book calls, meetings or appointments. You can integrate it into your website or setup a branded page for sharing in emails. To see it in action, check out my Book a Discovery Call page and then visit the Book Like a Boss site.

Canva

I discovered Canva a few years ago and haven’t looked back! It’s the ultimate design tool for non-designers and a quick-and-easy resource for those of us who feel at home using Photoshop, Illustrator and Indesign but don’t always need to. You can use Canva to create sharable social media images, cover photos, video thumbnails and so much more. The free version gives you access to most features and will allow you to get a feel for the user interface and what the application is capable of. Try Canva out today.

Dropbox

Dropbox is a great place to store and systematize your files so you and your team can find what you’re looking for no matter where you are. Start using this tool for free and upgrade as your library of digital assets grow.

Elegant Themes

I fell in love with Elegant Themes about a decade ago and have been a lifetime member ever since. Elegant Themes builds amazingly beautiful Premium WordPress Themes coupled with advanced functionality and awesome support. They are a leader in the industry, providing 600,000+ customers with the tools they need to create stunning and powerful websites on the WordPress platform. Check them out here.

HelloSign

I’ve been using HelloSign for my virtual assistant contracts since 2016. It’s a great way to demonstrate to new clients how easy I am to work with! HelloSign allows you to electronically request and add legally valid signatures to any document, from new hire agreements to loans and NDAs. HelloSign is available in an intuitive web interface, a developer-friendly API, or as a Salesforce add-on. Give them a try!

LastPass

If you haven’t started using a password manager yet, now is the time! I would be LOST without LastPass. The free version is perfect for personal and small business use with paid options available for larger teams. I love that it allows clients to securely share their sensitive information (such a social media and website logins, credit cards etc.) with me without sacrificing their privacy. Check out LastPass here.

Trello

Trello is an easy, free, flexible, and visual way to manage your projects and organize anything. Although Trello has been around since 2011 (and trusted by millions of people all over the world), it’s a relatively new find for me. I can’t believe I didn’t embrace its ease of use and the utter thrill of organization before this. I’ve never felt so in control of my projects and to-do list! Check it out and see if you love it as much as I do.

TypeForm

I’ve used Typeform for client projects for a few years now and I have to say, they really do take online forms to a new level. The design is simple and by asking one question at a time (like a real conversation), they are engaging and fun to complete. Typeform is a web-based platform for collecting and sharing information, in a conversational, human way. You can use Typeforms for market research surveys, polls, questionnaires, quizzes and tests, course evaluations — even interactive storytelling. They can be embedded on web pages on your website, on landing pages or sales pages, and even in online courses! Learn more here.

Zoom

Zoom is a user-friendly cloud platform for video and audio conferencing, collaboration, chat, and webinars.  Similar to Skype or Google Hangouts, it allows a group of people to interact in real-time through audio, video and text messages. The advantage of Zoom over Skype and Hangouts is that participants do not need to share contact information with each other or create accounts. I love that I can record meetings for referencing later. Learn more about Zoom here.

Creative Market

Looking for the perfect font or graphic for a project? Creative Market helps bring your creative projects to life with over three million unique fonts, graphics, themes, photos, and templates designed by independent creators around the world. Sign up for their weekly newsletter and get access to free downloads every Monday! Learn more here.

Design Cuts

Similar to Creative Market, Design Cuts provides a variety of design resources at affordable prices. Their design bundles are one of the most fun and budget-friendly ways to purchase an assortment of resources. Design Cuts also offers product tutorials and support but my absolute favourite feature is the onsite storage of my purchases. Instead of searching my own files, I can log into my Design Cuts account and see everything I’ve purchased (and then download the items as I need them). Check them out here.

SiteGround

I host all of the websites I build on SiteGround, and recommend them highly. Their hosting plans are affordable and the user interface is incredibly well designed. Live Chat is available with knowledgeable support staff who can help you through any issue quickly, and phone support is available with no wait time. SiteGround is a one-stop-shop for everything from purchasing your domain to setting up a WordPress website.

Screencast-o-Matic

Screencast-O-Matic is an incredibly affordable online tool that allows you to record video on your computer screen, record using your webcam, or have picture-in-picture! It’s perfect for recording an online course, YouTube or social media content and it also has an embed option so you can host your videos right on the software you use to record. Check them out here.

Google Drive

One of my favourite online tools, Google Drive allows me to create, edit and share documents, spreadsheets, presentations and more without worrying about sharing. Accessible from anywhere with internet, Google Drive is a handy collaborative tool for teams to use when you’re working with content, files, or images in tandem.

Wordfence

I use Wordfence on all of the websites I own and design. Wordfence allows you to protect your websites with the best WordPress security available, with an endpoint firewall and malware scanner that were built from the ground up to protect WordPress. Their Threat Defense Feed arms Wordfence with the newest firewall rules, malware signatures and malicious IP addresses it needs to keep your website safe. Rounded out by a suite of additional features, Wordfence is the most comprehensive security option available.
